1. Who We Are

DohOps is a workforce and operations management platform operated by DohAssist LLC, a Texas limited liability company headquartered at 14620 N IH 35 Office #A, Austin, TX 78728.

DohAssist LLC is the parent company of DohOps and all related brands. When this policy says "DohOps," "we," "us," or "our," it means DohAssist LLC operating the DohOps platform and marketing website at www.dohops.com.

This policy covers the DohOps marketing website (www.dohops.com), the DohOps web and mobile application, and all related communications from DohAssist LLC in connection with the DohOps platform.

2. What We Collect

We collect information in three ways: information you give us directly, information generated automatically when you use our platform, and information from third parties.

Information you give us directly:

  • Account registration data: name, email address, business name, phone number
  • Payment information (processed by our payment processor — we do not store full card numbers)
  • Business information: number of locations, industry, employee count
  • Employee data you enter: names, PINs, contact details, roles, schedules
  • Communications with our support and sales team
  • Demo and contact form submissions

Information generated automatically:

  • Log data: IP address, browser type, pages visited, timestamps
  • Device information: operating system, device type, screen size
  • GPS/location data from employee clock-in events (within the platform, not from website visitors)
  • Photos submitted as part of task completion verification (within the platform)
  • Usage data: features accessed, session duration, click patterns
  • Cookies and similar tracking technologies (see Section 5)

Information from third parties:

  • Analytics providers (Google Analytics 4)
  • Advertising platforms (Google Ads, Meta Pixel) for website visitors
  • Payment processor data (transaction confirmation, billing status)

3. How We Use Your Data

We use your data to operate the DohOps platform, communicate with you, and improve our product. Specifically:

Platform operation: Providing the scheduling, time tracking, task management, and workforce analytics features you subscribed to. Processing payments and managing your subscription. Sending account-related communications (invoices, account alerts, product updates).

Customer support: Responding to support requests, diagnosing technical issues, and providing onboarding assistance. Concierge plan clients receive setup and configuration support that may require access to your account data.

Product improvement: Analyzing usage patterns to improve platform features and usability. We use aggregated, anonymized data for this purpose — individual operator data is not shared or sold for product research.

Marketing and communications: If you have subscribed to our newsletter or requested product updates, we send relevant content to that contact. You can unsubscribe at any time. We use remarketing pixels on our marketing website (not in the platform) to serve relevant advertising to website visitors.

Legal and compliance: Retaining records as required by applicable law. Responding to valid legal process. Enforcing our Terms of Service and Platform Terms.

We do not sell your personal data. We do not sell, rent, or trade your personal information or your employees' personal information to third parties for their marketing purposes.

4. When We Share Data

We share data only in the following circumstances:

Service providers. We use third-party vendors to operate the platform: cloud hosting (data processed and stored in the United States), payment processing, email delivery, analytics, and customer support tooling. These vendors process data on our behalf under data processing agreements and are not permitted to use your data for their own purposes.

Business transfers. If DohAssist LLC is acquired, merges with another company, or transfers its assets, your data may be transferred as part of that transaction. We will notify you before your data is transferred and becomes subject to a different privacy policy.

Legal requirements. We disclose data when required by law, court order, or valid legal process, or when we believe in good faith that disclosure is necessary to protect the rights, property, or safety of DohAssist LLC, our users, or the public.

With your consent. We share data in any other circumstances with your explicit consent.

Employee data and operator responsibility. DohOps operators (the businesses subscribing to the platform) are the data controllers for their employees' data entered into and generated within the DohOps platform. Operators are responsible for ensuring they have appropriate legal basis to collect and process employee GPS location, photos, and work records under applicable employment law in their jurisdiction.

5. Cookies & Tracking

The DohOps marketing website (www.dohops.com) uses cookies and similar tracking technologies. The DohOps platform application may also use cookies for session management and authentication.

Types of cookies we use:

  • Essential cookies: Required for the platform to function (session authentication, security tokens). Cannot be disabled without breaking core functionality.
  • Analytics cookies: Google Analytics 4 (GA4) tracks page views and aggregate session data on our marketing website to help us understand how visitors use the site. We run GA4 with IP anonymization enabled, Google Signals (cross-device tracking) disabled, and ad-personalization signals disabled — data is used for analytics only and is not used to build advertising audiences. You can opt out via Google Analytics Opt-out.
  • Advertising cookies: We do not currently run advertising or remarketing pixels on www.dohops.com. If we begin running paid advertising in the future, this section will be updated before any ad cookies are placed.

Managing cookies: You can control cookies through your browser settings. Disabling essential cookies will affect platform functionality. Disabling analytics and advertising cookies will not affect your use of the platform or website.

Do Not Track: Our website does not currently respond to Do Not Track browser signals. We will update this section if that changes.

6. Data Retention

We retain different types of data for different periods based on legal requirements and operational necessity:

  • Account data: Retained for the duration of your subscription plus 3 years after account closure, or longer if required by law.
  • Employee time and attendance records: Retained for 7 years from the date of the record to meet FLSA and state wage-and-hour documentation requirements. Operators can export their full data at any time (see Platform Terms, Section 8).
  • Task completion records and photos: Retained for 3 years from the date of the record, unless the operator configures a longer retention period on their Enterprise plan.
  • Financial and billing records: Retained for 7 years as required by applicable tax and accounting law.
  • Support communications: Retained for 2 years from the date of the last communication in the thread.
  • Marketing communications: Email subscription data is retained until you unsubscribe or request deletion.

After the applicable retention period, data is deleted from active systems and removed from backups on the next scheduled backup rotation cycle (typically within 90 days of deletion from active systems).

If you cancel your DohOps subscription and request data export, we will provide your full data export within 30 days of your request. See Platform Terms for the full data export and cancellation process.

7. Your Rights

You have the following rights regarding your personal data, subject to applicable law:

  • Access: Request a copy of the personal data we hold about you.
  • Correction: Request correction of inaccurate or incomplete data.
  • Deletion: Request deletion of your personal data, subject to legal retention requirements described in Section 6.
  • Portability: Request your data in a machine-readable format for transfer to another service.
  • Objection: Object to processing of your data for marketing purposes. You can unsubscribe from marketing emails at any time using the unsubscribe link in any email.
  • Restriction: Request restriction of processing in certain circumstances (e.g., while a correction request is being resolved).

To exercise any of these rights, contact us at privacy@dohassist.com. We will respond to verifiable requests within 30 days. We may require identity verification before fulfilling a request.

Employee data note: If you are an employee of a DohOps customer and want to exercise rights over your data (GPS records, time records, photos), your primary contact is the business that employs you (the DohOps operator account holder). We will assist operators in responding to employee data requests.

8. California Residents (CCPA)

If you are a California resident, the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA) gives you specific rights regarding your personal information.

Categories of personal information we collect: Identifiers (name, email, IP address), commercial information (subscription data, payment history), internet activity (website usage, log data), geolocation data (employee GPS clock-in records within the platform), employment-related information (employee schedules, time records), and inferences drawn from this data to understand business preferences.

Purposes for collection: Platform operation, customer support, product improvement, marketing communications, and legal compliance — as described in Section 3.

We do not sell your personal information. We do not sell California residents' personal information to third parties. We do use advertising cookies on our marketing website (Google Ads, Meta Pixel) for targeted advertising, which may constitute "sharing" under the CPRA. You have the right to opt out of this sharing.

Your California rights:

  • Right to Know: What personal information we collect, use, disclose, and share
  • Right to Delete: Request deletion of your personal information (subject to exceptions)
  • Right to Correct: Request correction of inaccurate personal information
  • Right to Opt Out: Opt out of sale or sharing of personal information
  • Right to Limit Use of Sensitive Personal Information: Request limitation on use of sensitive data categories
  • Right to Non-Discrimination: We do not discriminate against you for exercising your CCPA rights

9. EEA / UK Residents (GDPR)

If you are located in the European Economic Area (EEA) or United Kingdom, you have additional rights under the General Data Protection Regulation (GDPR) or UK GDPR.

Legal basis for processing: We process your personal data on the following legal bases:

  • Contract: Processing necessary to provide the DohOps platform services you subscribed to
  • Legitimate interests: Analytics, security, fraud prevention, and platform improvement
  • Legal obligation: Compliance with applicable law (tax records, employment law documentation)
  • Consent: Marketing communications and advertising cookies, where you have given explicit consent

International data transfers: DohOps operates primarily in the United States. If you are in the EEA or UK, your data is transferred to and processed in the United States. We rely on Standard Contractual Clauses (SCCs) approved by the European Commission for these transfers. Contact privacy@dohassist.com to request a copy of our SCCs.

Your GDPR rights: In addition to the rights described in Section 7, EEA/UK residents have the right to lodge a complaint with your local data protection authority. In the UK, this is the Information Commissioner's Office (ICO). In the EU, it is your national data protection authority.

Data Protection Officer: DohAssist LLC does not currently have a formal DPO designation. Privacy inquiries are handled by our Privacy Team at privacy@dohassist.com.

10. Security

We implement reasonable administrative, technical, and physical safeguards to protect your data against unauthorized access, disclosure, alteration, and destruction. These include:

  • Encryption in transit (TLS/HTTPS for all data transmission)
  • Encryption at rest for sensitive data categories
  • Access controls and role-based permissions within our systems
  • Vendor data processing agreements with security requirements
  • Regular security reviews and updates

No system is perfectly secure. We cannot guarantee absolute security. In the event of a data breach that affects your personal data, we will notify you as required by applicable law.

You are responsible for maintaining the security of your DohOps account credentials. Use a strong, unique password. Do not share your account credentials with people outside your organization. If you believe your account has been compromised, contact support@dohassist.com immediately.

11. Children's Privacy

DohOps is a business-to-business platform designed for use by business operators and their employees. It is not directed to children under 13 years of age, and we do not knowingly collect personal information from children under 13.

If you believe we have inadvertently collected information from a child under 13, contact us at privacy@dohassist.com and we will delete it promptly.

12. Changes to This Policy

We update this Privacy Policy when our data practices change, when applicable law changes, or when we add new features that affect data collection.

When we make material changes, we will notify you by email (to the address on your account) and by posting a prominent notice on www.dohops.com at least 14 days before the changes take effect. The "Last Updated" date at the top of this policy will always reflect the current version.

Your continued use of DohOps after the effective date of any changes constitutes acceptance of the updated policy. If you do not agree with changes, you may cancel your subscription and request data export before the changes take effect.
